1. About this policy
This Privacy Policy explains how the DAPS2027 Organising Committee collects, uses, discloses and protects personal data in connection with the 8th International Conference on Design and Analysis of Protective Structures (“DAPS2027”, “the Conference”), and with this website at daps2027.org.
DAPS2027 is organised by the NTU CEE Alumni Association (“we”, “us”, “our”). We handle personal data in accordance with the Singapore Personal Data Protection Act 2012 (“PDPA”).
Where the Conference is supported by Nanyang Technological University, personal data may also be handled under NTU’s institutional data protection policy, available at https://www.ntu.edu.sg/legal/privacy-statement.
2. Personal data we collect
2.1 Conference registration
When you register to attend DAPS2027, we collect the information you provide in the registration form.
– Full name and salutation
– Email address and contact number
– Organisation, department and job title
– Country of residence
– Registration category (e.g. delegate, student, speaker)
– Dietary requirements or accessibility needs
– Name and organisation as they should appear on your conference badge
Where you provide dietary or accessibility information, this may reveal health-related details. We collect it solely to make appropriate arrangements for you at the Conference, and you are not required to provide it.
2.2 Abstract and paper submissions
Abstracts, full papers and final manuscripts are collected and managed through Oxford Abstracts, a third-party submission platform. When you submit through Oxford Abstracts, your personal data (including author names, affiliations, email addresses and the content of your submission) is processed on that platform under its own privacy policy, in addition to this one. We access submission data through Oxford Abstracts for the purposes of peer review, programme planning and publication of the Conference proceedings.
2.3 Payment information
Registration fees are processed by Stripe. Payment card details are entered directly into Stripe’s systems and are not collected, stored or accessible by us. We receive only confirmation of payment status and limited transaction details (such as amount, currency, date and the last four digits of the card) for reconciliation and receipting.
2.4 Correspondence
If you contact the Conference secretariat by email, we collect your email address and the contents of your message in order to respond and to maintain a record of the enquiry.
2.5 Photography and recording at the Conference
Photographs, audio and video may be taken during the Conference for record-keeping, reporting and promotional purposes, including publication on this website, in Conference materials and on the organisers’ social media channels. Notices will be displayed at the venue. If you do not wish to appear in Conference photography or recordings, please inform the secretariat at daps2027@ntu.edu.sg before or during the event.
2.6 Website technical data
This website does not use analytics or advertising cookies. Our web host and content platform may record standard server logs (such as IP address, browser type and pages requested) for security and operational purposes. Cookies that are strictly necessary for the website to function may be set by the site platform.
3. How we use personal data
We use personal data to:
– process and confirm your Conference registration and payment;
– manage abstract and paper submissions, peer review and the academic programme;
– publish accepted papers and author details in the Conference proceedings and programme materials;
– communicate with you about the Conference, including programme updates, logistical information and any changes to arrangements;
– make catering, accessibility and venue arrangements;
– issue receipts, certificates of attendance and invoices;
– maintain records for accounting, audit and reporting purposes; and
– comply with applicable legal and regulatory obligations.
We may also use your email address to inform you about future editions of the DAPS conference series. You may opt out of these communications at any time.
4. Disclosure to third parties
We disclose personal data only as necessary for the purposes described above, to:
– Oxford Abstracts – submission and peer review management;
– Stripe – payment processing;
– Nanyang Technological University – where NTU is involved in hosting, venue access or academic administration of the Conference;
– reviewers and programme committee members – for the purpose of reviewing submissions;
– the Conference venue and appointed service providers – for access, catering and event logistics;
– X-Interval Pte. Ltd. – appointed event organiser, for registration, delegate management and on-site logistics;
– Nudge Marketing Pte. Ltd. – website development and maintenance; and
– regulatory authorities or other parties where required by law.
We do not sell personal data, and we do not share delegate contact details with sponsors or exhibitors for their own marketing purposes.
5. Transfers outside Singapore
Some of our service providers, including Oxford Abstracts and Stripe, process data on servers located outside Singapore. Where personal data is transferred out of Singapore, we take reasonable steps to ensure that the recipient provides a standard of protection comparable to that required under the PDPA.
Author names, affiliations and paper titles of accepted submissions will be published internationally as part of the Conference proceedings and programme.
6. Retention
We retain personal data only for as long as it is needed for the purposes described in this policy, or as required by law.
[DEFAULT — confirm or amend:] Registration and contact data is retained for 24 months following the close of the Conference, after which it is deleted or anonymised. Financial and accounting records are retained for the period required under Singapore law. Submitted abstracts, papers and associated author details form part of the permanent academic record of the Conference and are retained indefinitely.
7. Security
We take reasonable administrative, physical and technical measures to protect personal data in our possession against unauthorised access, collection, use, disclosure, copying, modification or disposal. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
8. Your rights
Subject to the PDPA, you may:
– Request access to the personal data we hold about you and information about how it has been used or disclosed in the past year;
– Request correction of personal data that is inaccurate or incomplete;
– Withdraw consent to our continued collection, use or disclosure of your personal data, on reasonable notice.
Withdrawing consent may mean we are unable to proceed with your registration, process your submission, or provide you with Conference services. We will inform you of the likely consequences before acting on a withdrawal request.
Requests should be sent to daps2027@ntu.edu.sg. We may require reasonable proof of identity, and a reasonable fee may apply to access requests as permitted under the PDPA.
